Plain Summary
CelebrateSync and HostHaven may allow users, organizers, guests, photographers, suppliers, or authorized event roles to upload, view, manage, approve, download, share, or store event photos, videos, audio, captions, albums, galleries, and memories.
Private Event media is intended only for authorized Event participants and authorized Event roles unless a feature clearly makes the media public with proper authority. Uploading media to the platform does not mean CelebrateSync owns it, may sell it, may use it for advertising, or may allow suppliers to reuse it as portfolio content.
Uploaders, Organizers, clients, suppliers, photographers, and users remain responsible for having the rights, permissions, consents, licenses, and authority needed for the media they upload, approve, share, publish, or reuse.
Minor media, non-consensual intimate media, hidden-camera content, public child media, facial recognition, biometric identification, public galleries, supplier portfolio reuse, and paid archival features require special controls or separate review before launch.

1. Scope
This Media, Gallery, Memory, Photographer Rights, and Photo/Video Consent Policy applies to photographs, videos, audio recordings, voice recordings, livestream captures, graphics, illustrations, captions, albums, gallery links, profile images, Event memories, supplier media, client uploads, photographer uploads, guest uploads, Organizer uploads, staff uploads, media comments, metadata, and other media processed through CelebrateSync, HostHaven, the Supplier Network, Event workspaces, public pages, and related Services.
These Terms apply to private Event galleries, Event memories, media delivery features, uploads by guests or staff, uploads by photographers or media teams, client approval workflows, Organizer approval workflows, supplier profile media, review-related media, profile images, external sharing links, download features, and any future media-related feature.
These Terms should be read together with the Terms of Service, Privacy Notice and Data Rights Policy, Privacy Notice Acknowledgment and Consent Form, Community, Content, Child Safety, IP, and Enforcement Policy, Account Deletion and Retention Policy, Cookie and Marketing Policy, Supplier Network and Public Trust rules, Review Guidelines, Spark Points Program Terms, App Permission Disclosures, and any applicable Event-specific or feature-specific rules.
2. Private Event Media
Private Event media is intended for authorized Event participants and authorized roles only unless a feature expressly makes the media public and the person enabling the feature has the required authority.
Private Event media must not be treated as general marketing material, public supplier portfolio content, public social-media content, advertising material, training material, public gallery content, or unrestricted downloadable material merely because it is uploaded to the Services.
CelebrateSync may provide technical controls for visibility, sharing, approval, download, expiration, album access, Event roles, guest access, supplier access, and gallery links. The existence of a technical control does not guarantee that every legal consent, copyright permission, subject release, parent or guardian authorization, or contractual permission has been obtained.
3. Uploader Authority
Each uploader represents and warrants that the uploader has all rights, permissions, notices, consents, licenses, assignments, releases, approvals, or other authority required to upload, store, display, transmit, share, deliver, publish, download, approve, or make media available through the Services for the intended audience and purpose.
This includes authority from any relevant Event Organizer, client, photographer, videographer, editor, creator, rights holder, subject, parent or guardian of a minor where required, venue, supplier, employer, or other person whose rights may be affected.
An uploader must not upload media that the uploader does not own or have authority to use, media obtained from unauthorized sources, screenshots or copies taken from another platform without permission, copyrighted music or audiovisual content without rights, private media obtained without consent, or media that violates privacy, publicity, child-safety, IP, contractual, or Event-specific rules.
4. Organizer and Client Responsibility
Organizers and clients are responsible for determining who may upload, view, approve, publish, download, share, archive, or distribute Event media within the Event workspace.
Where the Organizer or client instructs CelebrateSync to process Event media for an Event, the Organizer or client may be responsible for obtaining appropriate notices, consents, permissions, photographer arrangements, venue permissions, guest communications, and parental or guardian authority where required.
Organizer or client approval of media inside the Services does not automatically prove copyright ownership, subject consent, photographer permission, venue authorization, minor consent, or legal sufficiency unless the approver has the authority to give that approval.
5. Photographer License Chain
Organizers and clients using professional photographers, videographers, editors, content creators, media teams, or production teams should maintain written arrangements confirming what media may be uploaded to CelebrateSync or HostHaven.
The written arrangement should address, where applicable:
who owns the copyright or licensed rights; who may upload the media; who may view the media; whether guests may download the media; whether the Organizer or client may share the media externally; whether the media may be displayed publicly; whether supplier or photographer portfolio use is allowed; whether promotional use is allowed; whether attribution is required; whether watermark removal is allowed; whether cropping, resizing, compression, editing, filters, or transcoding are permitted; whether moral rights or creator-credit requirements apply; how long the media may be hosted or archived; and who may request takedown, correction, restriction, or deletion.
CelebrateSync may require the uploader, Organizer, client, supplier, photographer, or rights claimant to provide written authority, license, assignment, release, or other evidence where a dispute, complaint, report, or takedown request is received.
6. Moral Rights and Attribution
Where a creator is known and attribution is legally, contractually, or reasonably required, the uploader, Organizer, supplier, or relevant user should provide accurate attribution.
CelebrateSync may display attribution, credit, watermark, or rights information where technically available and supported by the relevant feature.
Users must not remove, obscure, crop out, alter, misrepresent, or strip watermarks, creator credits, copyright notices, metadata, rights information, or attribution in a misleading, infringing, reputationally harmful, or unlawful way.
Nothing in these Terms should be interpreted as waiving a creator’s moral rights or other non-waivable rights under applicable law.
7. Platform License
By uploading or submitting media to the Services, the uploader grants CelebrateSync a limited, non-exclusive, revocable where legally applicable, worldwide, royalty-free license to host, store, cache, reproduce as technically necessary, resize, compress, transcode, format, transmit, display, deliver, moderate, secure, back up, analyze for security or integrity, and otherwise process the media only as reasonably necessary to provide the requested Event, gallery, memory, support, legal, privacy, security, moderation, or platform function.
This license is limited to operating and providing the Services. It does not give CelebrateSync unrestricted ownership of the media.
This license does not authorize CelebrateSync to sell private Event media, use private Event media for public advertising, use minor media in promotional materials, or allow supplier portfolio reuse unless separate authority, consent, license, release, or counsel-approved feature terms apply.
8. No Ownership Transfer
Uploading, storing, approving, sharing, or displaying media through the Services does not transfer ownership to CelebrateSync.
Copyright, moral rights, publicity rights, privacy rights, contractual rights, and other rights remain with the applicable owner, creator, subject, rights holder, or authorized party, subject to applicable law and the licenses or permissions granted for use of the Services.
CelebrateSync does not acquire the right to sell private Event media, license private Event media to unrelated third parties, or use private or minor media in advertising unless separate authority is obtained where required.
9. Guest Uploads
Guest uploads may be subject to Organizer approval, client approval, moderation, reporting, removal, visibility restrictions, Event-specific rules, storage limits, and technical controls.
Guests should not upload media involving persons who object, minors without appropriate authority, private moments, intimate scenes, medical or accessibility situations, security incidents, backstage/private areas, confidential Event details, copyrighted works, music, professional photos, or supplier-created media without permission.
A guest who uploads media remains responsible for the content and for having the rights, permissions, consents, and authority needed for the upload and intended sharing.
10. Organizer and Client Approval Workflows
Where approval workflows are enabled, Organizer or client approval may control whether media is visible, published, delivered, displayed, downloaded, moved to a gallery, included in a memory feature, or shared with a defined group.
Approval workflows are operational controls, not legal guarantees. Approval does not automatically guarantee that the approver owns the media, has obtained subject consent, has photographer permission, has venue authorization, has authority over minor media, or has resolved all privacy, IP, moral-rights, or contractual issues.
CelebrateSync may still restrict or remove approved media where a complaint, legal risk, privacy concern, IP issue, child-safety issue, non-consensual media report, or other policy violation arises.
11. Public Sharing and External Publication
Public sharing, public galleries, public Event pages, supplier portfolio use, photographer portfolio use, social-media posting, promotional use, advertising use, and external publication are disabled unless the relevant feature is enabled and supported by appropriate consent, authority, policy language, visibility controls, and operational safeguards.
A User, Organizer, supplier, photographer, or other role holder must not treat private Event access as permission to publish media outside the Event context.
Public child media, public minor galleries, public guest galleries, or public media involving sensitive Event situations remain gated and should not be enabled unless separately reviewed, approved, and implemented with appropriate authority and safeguards.
12. Minors in Media
Media involving minors should remain private and Event-scoped unless appropriate parent, guardian, legal, contractual, or other authority exists and a counsel-approved publication process is implemented.
Minor media should not be used for public promotion, public profiles, public supplier portfolios, targeted ads, review incentives, Spark Points campaigns, child-directed rewards, or unrelated marketing at launch.
Users must not upload, request, solicit, sexualize, exploit, identify, target, harass, or misuse media involving minors. Suspected child-safety violations may be handled urgently under the Community, Content, Child Safety, IP, and Enforcement Policy.
13. Non-Consensual Intimate Media and Privacy-Sensitive Media
Non-consensual intimate, voyeuristic, sexual, hidden-camera, exploitative, coercive, threatening, or privacy-sensitive media is prohibited.
Consent to attend an Event, appear in a group photo, be recorded in a venue, or be photographed by an Event photographer does not automatically mean the person consents to intimate, humiliating, exploitative, public, promotional, or unrelated platform sharing.
Reports involving non-consensual intimate media, hidden-camera content, sexual exploitation, harassment, stalking, extortion, or privacy-sensitive media may receive urgent handling and may trigger immediate link disablement, visibility restriction, account action, evidence preservation, internal escalation, and legal or authority referral where required or permitted.
14. Metadata, EXIF, Location, and Technical Information
Media may include metadata such as EXIF data, GPS/location data, device information, date and time, filename, editing history, camera details, embedded thumbnails, face/location tags, creator metadata, copyright notices, and application-generated technical data.
CelebrateSync should document whether metadata is stripped, hidden, retained, processed, displayed, indexed, transferred, or exposed for each relevant media feature.
Unnecessary metadata should not be exposed to public viewers. Location metadata, minor-related metadata, private Event metadata, and sensitive technical information should be minimized, hidden, stripped, or restricted where appropriate.
15. Download, Screenshot, Copying, and Reuse
Download, screenshot, copying, forwarding, screen recording, saving, reposting, printing, external sharing, and reuse may be limited or prohibited by Event settings, gallery settings, Organizer instructions, copyright rules, privacy rules, photographer terms, or applicable law.
Technical restrictions may reduce misuse but may not prevent all copying, screenshotting, screen recording, forwarding, or external sharing.
A User who obtains media through the Services remains responsible for respecting privacy, IP rights, moral rights, Event rules, subject objections, minor protections, confidentiality, and any applicable Organizer or photographer restrictions.
16. Takedown, Restriction, Correction, and Attribution Requests
Subjects, parents or guardians, Organizers, clients, photographers, videographers, editors, rights holders, suppliers, venues, or other affected persons may request removal, restriction, correction, attribution, investigation, link disablement, or review of media available through the Services.
A request should include enough information to identify the relevant media, Event, Account, gallery, album, link, supplier profile, review, message, or public page; the requester’s relationship to the media; the requested action; and any evidence of authority or rights.
CelebrateSync may coordinate with Organizers, clients, uploaders, photographers, rights holders, subjects, or other relevant parties before acting where appropriate. Urgent privacy, child-safety, non-consensual intimate media, security, or legal-risk reports may receive interim restrictions while reviewed.
17. Drive, Cloud, and External Sync
Where Google Drive, cloud export, local download, external gallery, photographer delivery, client delivery, or another external media sync is enabled, Users should be informed what media is transferred, who controls the destination account, who may access the destination, whether deletion from CelebrateSync deletes external copies, what third-party terms apply, and what privacy or security settings are the User’s responsibility.
Deletion, restriction, or takedown from CelebrateSync may not automatically delete media that has already been downloaded, exported, synced, forwarded, copied, screenshotted, printed, or stored in a third-party service outside CelebrateSync’s control.
Users are responsible for ensuring that any external destination, shared drive, gallery, device, or third-party account used for media export or sync is authorized and appropriately secured.
18. Retention, Archival, and Memory Features
Media retention depends on Event settings, Organizer instructions, Account status, deletion requests, Memory Vault or archival status where enabled, paid app-upgrade status where enabled, storage limits, legal holds, support disputes, privacy requests, IP complaints, child-safety reports, non-consensual media reports, and other legal or operational requirements.
Media should be retained according to the applicable Retention Schedule and should not be retained indefinitely by default unless a paid, approved, disclosed, and operational archival feature applies or retention is otherwise required or permitted by law.
Where Memory Vault, Event archive, long-term gallery, family album, public gallery, paid storage, or similar features are enabled in the future, the feature should disclose retention period, storage limits, deletion controls, payment terms, visibility settings, export options, and what happens when the subscription, upgrade, Event, or Account ends.
19. Moderation and Reports
CelebrateSync may moderate media through automated, manual, user-reporting, Organizer-review, or escalation tools where available, but does not guarantee detection of all unlawful, harmful, infringing, private, non-consensual, or inappropriate media.
Users, Organizers, suppliers, photographers, guests, and affected persons remain responsible for reporting inappropriate, unlawful, infringing, unsafe, or unauthorized media.
Media-related reports may be submitted through in-app reporting tools where available or through reportabuse@celebratesync.app, privacy@celebratesync.app, legal@celebratesync.app, or support@celebratesync.app, depending on the nature of the concern.
20. Supplier and Photographer Portfolio Use
Supplier or photographer portfolio use of Event media requires appropriate permission from the rights holder and subjects where required.
The platform should not automatically permit supplier reuse, photographer reuse, public display, advertising use, social-media posting, or portfolio publication of private Event media merely because the supplier, photographer, or creator participated in the Event or had access to the Event workspace.
A supplier or photographer who wants to use Event media outside the Event context remains responsible for obtaining the required copyright permission, client approval, subject consent, venue authorization, minor authority, release, or other legal basis.
21. Future Gated Media Features
Facial recognition, biometric identification, AI face grouping, automatic person tagging, public child galleries, public Event galleries, supplier portfolio publishing, photographer portfolio publishing, paid Memory Vault archival, public search indexing, automated highlight reels using private media, AI training using private media, targeted ads using media, and similar high-risk media features remain gated unless separately reviewed, approved, disclosed, and implemented with appropriate consent, authority, privacy, security, app-store, and legal controls.
A feature will be treated as enabled only when it is available in the production user interface, supported by the applicable operational process, and covered by any required terms, privacy disclosures, consent controls, app-store disclosures, and internal launch approval.
22. Relationship With Other Policies
This Policy supplements, and does not replace, the Terms of Service, Privacy Notice and Data Rights Policy, Community, Content, Child Safety, IP, and Enforcement Policy, Account Deletion and Retention Policy, Cookie and Marketing Policy, Supplier Network and Public Trust rules, Review Guidelines, Spark Points Program Terms, App Permission Disclosures, and any applicable Event-specific or feature-specific rules.
In case of conflict, the document most specific to the relevant feature or processing activity will generally apply, subject to applicable law and counsel-approved publication hierarchy.
