Supplier Network, Public Trust, Reviews, and Supplier Response

Plain Summary

The Supplier Network is intended as a discovery and public-trust feature for venues, suppliers, service providers, and event-related businesses.

At initial launch, the Supplier Network is not a marketplace, booking agent, payment processor, escrow service, supplier settlement system, insurer, guarantor, or dispute judge for supplier services.

Supplier profiles, reviews, ratings, claimed labels, verified labels, sponsored placements, and featured placements must be clearly explained and must not imply background checks, licensing verification, insurance verification, quality certification, or safety inspection unless those checks are actually performed and documented.

Public reviews, ratings, supplier responses, sponsored trust features, supplier payments, marketplace checkout, commissions, escrow, and split payments remain gated unless separately reviewed, approved, disclosed, and operationally released.

1. Purpose and Scope

This Supplier Network, Public Trust, Reviews, and Supplier Response Policy governs supplier profiles, venue profiles, business profiles, profile claims, profile edits, event-based reviews, ratings, public trust labels, supplier responses, sponsored placements, featured placements, public supplier information, supplier takedowns, review disputes, review moderation, and related Supplier Network features in the CelebrateSync / HostHaven ecosystem.

This Policy applies to suppliers, venues, service providers, Organizers, clients, guests, reviewers, profile claimants, business representatives, platform personnel, and any User interacting with supplier-related features.

This Policy should be read together with the Terms of Service, Privacy Notice and Data Rights Policy, Privacy Notice Acknowledgment and Consent Form, Community, Content, Child Safety, IP, and Enforcement Policy, Account Deletion and Retention Policy, Cookie and Marketing Policy, Media Policy, Spark Points Program Terms, HostHaven Organizer Platform Addendum, Platform Fees Terms, Review Guidelines, and any applicable Event-specific or feature-specific rules.

2. Discovery Only at Initial Launch

Supplier Network features are informational discovery tools unless a separate marketplace or payment feature is expressly enabled.

At initial launch, the Operator does not become a supplier, venue, contractor, event planner, booking agent, broker, merchant of record for supplier services, payment intermediary, escrow agent, insurer, guarantor, quality certifier, licensing authority, safety inspector, or dispute adjudicator for supplier services.

The Operator may provide software tools, supplier listings, profile pages, contact information, event relationship indicators, review tools where enabled, reporting tools, and public-trust information, but this does not mean the Operator is responsible for supplier performance, pricing, contracts, cancellations, refunds, deposits, permits, licenses, insurance, warranties, or Event fulfillment.

3. Supplier Profile Data

Supplier or venue profiles may include business name, trade name, category, subcategory, description, service areas, address or service location, contact information, website or social links, images, logos, portfolio samples, claimed status, verification status, Event relationship indicators, review eligibility indicators, reviews where enabled, ratings where enabled, sponsored or featured status where enabled, and other public-trust information.

Supplier profiles may be created, edited, supplemented, or moderated by suppliers, authorized business representatives, Organizers, platform personnel, or from lawful and publicly available sources where permitted.

The Operator may correct, restrict, annotate, merge, remove, or update supplier profile data where necessary to address duplication, impersonation, inaccuracy, fraud, rights issues, privacy issues, outdated information, safety concerns, or policy violations.

4. Public Field Allowlist

Only approved public fields should be visible on supplier profiles.

The following should not be made public through supplier profiles unless a specific feature, consent, authority, and lawful basis supports publication:

private Event contracts; guest lists; private Event notes; private messages; supplier private messages; personal phone numbers not intended for public display; private email addresses not intended for public display; payment details; bank details; deposits and balance records; internal Organizer notes; platform moderation notes; minor information; health, allergy, accessibility, or religious information; security notes; incident notes; private media from Events; and Event-specific confidential data.

The Operator may maintain internal records that are not displayed publicly for security, moderation, support, verification, legal, billing, or compliance purposes.

5. Profile Claims and Authority

A person claiming a supplier profile represents that the person is authorized to act for the supplier, venue, business, trade name, or service provider.

The Operator may require email-domain confirmation, phone confirmation, public-record review, business documents, social-page control, manual review, payment account verification where applicable, or other proof of authority.

Email-domain matching, phone confirmation, social-page control, or document review should be described only as limited account-control or profile-claim verification unless the Operator actually performs and documents broader business, licensing, safety, insurance, ownership, or background verification.

The Operator may reject, suspend, reverse, or re-review a profile claim where authority is unclear, disputed, misleading, fraudulent, outdated, or inconsistent with public records or platform evidence.

6. Verification Labels and Public Trust Labels

Terms such as claimed, verified, event-based, trusted, sponsored, featured, responsive, popular, recommended, top-rated, or similar labels must be defined before use.

Such labels must not imply background checks, licensing verification, insurance confirmation, quality certification, legal compliance, tax compliance, safety inspection, suitability, endorsement, or guaranteed supplier performance unless those checks are actually performed, documented, and described.

Where a label is based on limited information, the label should be limited in wording. For example:

Claimed Profile — a user has demonstrated limited authority to manage this profile. Event-Based Review — the review is linked to an eligible Event relationship or platform signal. Sponsored — placement or visibility may be influenced by payment or commercial arrangement. Featured — placement may be selected by the platform, Organizer category, sponsorship, or editorial/business criteria.

Labels should not be designed in a way that misleads Users into believing that the Operator guarantees supplier quality, safety, legality, licensing, availability, or performance.

7. Supplier Duties

Suppliers and supplier representatives must provide accurate profile information, maintain current contact details, use only authorized images and branding, honor their own contracts and quotations, perform services lawfully, maintain required permits, licenses, insurance, registrations, or qualifications where applicable, and comply with applicable laws and professional obligations.

Suppliers must respect Event privacy, protect guest and Event Data, avoid spam, avoid unauthorized marketing, avoid misleading claims, avoid impersonation, avoid fake reviews, avoid review retaliation, and comply with supplier-response, review, media, privacy, and community rules.

Suppliers must not use supplier-profile access, Event access, role access, or review-response features to harvest guest information, contact guests outside the Event purpose, disclose private Event information, pressure reviewers, manipulate public trust signals, or misrepresent platform verification.

8. Organizer-Supplier Relationships

Contracts, quotations, deposits, payments, refunds, cancellations, warranties, service obligations, performance issues, quality disputes, supplier availability, supplier legality, insurance, licenses, permits, and fulfillment obligations between Organizers, clients, venues, and suppliers remain between those parties unless a separate reviewed agreement expressly makes the Operator a party.

The Operator does not guarantee supplier responsiveness, availability, quality, suitability, legality, pricing, refundability, insurance, licensing, performance, or Event outcome.

Organizers and clients remain responsible for supplier selection, contracting, payment arrangements, service scope, cancellation terms, refunds, dispute handling, and Event fulfillment.

9. No Supplier Settlement at Launch

At initial launch, the Operator does not collect, hold, release, settle, escrow, split, or disburse supplier funds.

Supplier payment notes, deposit notes, balance records, paid/unpaid labels, invoice fields, or payment-status entries in HostHaven are Organizer-entered operational records only.

Such notes do not prove that payment was made, received, verified, held, released, refunded, guaranteed, or processed by the Operator.

Supplier settlement, supplier payouts, marketplace checkout, escrow, split payments, commissions on supplier payments, supplier-service refunds, and supplier deposit handling remain disabled unless separately reviewed, approved, disclosed, and released.

10. Sponsored and Featured Placements

Sponsored or featured status must be clearly labeled where placement, visibility, ranking, display, lead routing, or prominence is influenced by payment, sponsorship, affiliate relationship, commercial relationship, partnership, or platform business criteria.

Sponsored or featured placement must not be described as an endorsement, objective quality ranking, licensing verification, insurance verification, background check, supplier certification, safety clearance, or guaranteed supplier recommendation unless that is actually true and documented.

Ads, sponsored placements, affiliate links, or featured listings must not use private Event Data, guest lists, RSVP records, Event messages, private media, minor data, or sensitive Event Data for targeting unless separately reviewed, approved, disclosed, and supported by required consent and controls.

11. Review Feature Launch Gate

Public reviews, ratings, public supplier responses, sponsored public-trust features, review badges, rating averages, ranking based on reviews, and review-related trust labels should remain disabled until reporting, moderation, response, takedown, redress, eligibility verification, logging, and publication controls are operational and counsel-approved.

A review feature will be treated as enabled only when it is available in the production user interface, supported by the applicable moderation and redress process, and covered by required terms, privacy disclosures, consent controls, and internal launch approval.

12. Review Eligibility

Where reviews are enabled, the platform may require a verified Event relationship, invitation, RSVP, supplier assignment, booking signal, Organizer confirmation, client confirmation, attendance signal, transaction signal where applicable, or other eligibility evidence.

The Operator may reject, restrict, remove, delay, or review a submission that cannot be linked to an eligible experience or that appears to come from an ineligible reviewer class.

Review eligibility does not mean the Operator verifies every statement in a review or guarantees that the review is complete, accurate, fair, representative, or free from disagreement.

13. Prohibited Reviewer Classes

Unless a specific exception and disclosure model is reviewed and approved, the following may be ineligible to post supplier reviews:

supplier owners reviewing their own business; supplier employees reviewing their own business; contractors or agents reviewing their own supplier account without disclosure; competitors reviewing competing suppliers; suppliers reviewing competitors at the same Event; paid promoters; undisclosed affiliates; persons offered improper incentives; persons who did not interact with the supplier; fake accounts; duplicate accounts created to influence ratings; family members where the conflict is material and undisclosed; Organizers or staff reviewing in a misleading capacity; and users attempting review manipulation.

The Operator may use technical signals, Event records, reports, manual review, or other evidence to evaluate reviewer eligibility.

14. Review Content Rules

Reviews must reflect genuine Event or supplier-service experience.

Reviews must not include:

confidential Event details; private guest data; guest lists; minor information; health, allergy, accessibility, religious, or medical details; private messages; payment information not suitable for public display; threats; harassment; doxxing; hate or abusive content; sexual or explicit content; non-consensual intimate content; false factual allegations; defamatory statements; blackmail or extortion; IP violations; copyrighted material without permission; unrelated disputes; competitor manipulation; supplier retaliation; or content submitted mainly to harm, pressure, or mislead.

The Operator may moderate, restrict, redact, remove, or decline to publish review content that violates this Policy, Review Guidelines, Community Policy, Privacy Notice, Media Policy, applicable law, or platform rules.

15. Review Incentives and Spark Points

Reviews should not be purchased, coerced, manipulated, or rewarded based on rating, tone, substance, positivity, star level, supplier approval, or outcome.

At launch, Spark Points should not be earned from writing supplier reviews or posting public ratings unless counsel approves a specific review-task model and required disclosure language.

Where any review-related incentive is approved in the future, it must not depend on whether the review is positive or negative, the number of stars given, whether the supplier agrees with the review, or whether the review helps or harms a supplier.

Fake, abusive, duplicate, competitor, self-promotional, or misleading reviews remain prohibited even if the user would otherwise be eligible for a review-related task.

16. Ratings, Ranking, and Public Trust Integrity

Ratings, averages, badges, sorting, visibility, eligibility labels, category matching, ranking methods, sponsored placement, review count, review recency, and public trust signals should be described at a high level where they materially affect public trust.

The Operator should not imply objective quality certification when ratings or rankings are based on user input, incomplete data, limited Event signals, sponsorship, category matching, profile completeness, paid placement, platform activity, or other limited signals.

The Operator may adjust visibility, ranking, badges, labels, review counts, or supplier-profile display to prevent fraud, abuse, spam, manipulation, privacy violations, legal risk, duplicate profiles, inactive listings, or misleading public-trust signals.

17. Supplier Responses

Supplier responses are allowed only where the feature is enabled, logged, and subject to moderation.

Supplier responses must remain professional and relevant to the review.

Supplier responses must not disclose or imply private information about the reviewer, guests, clients, Event participants, Event location, Event date, guest lists, messages, payment details, health/accessibility notes, minors, family circumstances, security issues, confidential Event circumstances, or private disputes unless disclosure is legally appropriate and approved through the platform process.

Supplier responses must not harass, threaten, retaliate against, shame, identify, pressure, defame, dox, or intimidate reviewers or other Event participants.

The Operator may edit visibility, restrict, remove, delay, or decline to publish supplier responses that violate policy or create privacy, safety, legal, or public-trust risk.

18. Review Disputes and Reports

Suppliers, Organizers, reviewers, subjects, rights holders, or affected persons may report reviews or supplier responses they believe are fake, ineligible, abusive, privacy-invasive, defamatory, infringing, retaliatory, manipulated, or otherwise prohibited.

The Operator may request evidence from the supplier, reviewer, Organizer, or other relevant party.

The Operator may temporarily hide, restrict, annotate, preserve, remove, restore, decline, or take no action on a review or response based on the available evidence, platform records, applicable law, and policy rules.

The Operator does not guarantee a particular dispute outcome and does not act as a court or final adjudicator of supplier-service disputes.

19. Reviewer Privacy

Reviewer identity should not be disclosed to suppliers beyond the display settings and information shown publicly, unless required by law, necessary for a lawful dispute process, necessary to investigate serious abuse, or approved by counsel.

The review process should avoid unnecessarily exposing private Event details, guest data, minor information, contact details, private messages, payment details, or sensitive personal information.

The Operator may use internal records to assess eligibility, abuse, fraud, and disputes without making all records public or disclosing them to the supplier.

20. Review Retention

Reviews, ratings, review responses, eligibility signals, moderation records, dispute records, audit logs, and public-trust records may be retained for public-trust integrity, legal defense, moderation history, abuse prevention, dispute handling, privacy-request handling, recordkeeping, and platform integrity.

Reviews may remain visible after a supplier account is closed, profile is unclaimed, Organizer relationship ends, reviewer account is closed, or Event is completed, subject to privacy rights, takedown review, legal holds, retention schedules, and applicable law.

The Operator may remove, anonymize, restrict, archive, or retain reviews depending on the nature of the review, user request, supplier dispute, legal requirement, privacy risk, public interest, and platform rules.

21. Supplier Takedowns, Restrictions, and Corrections

The Operator may hide, suspend, restrict, annotate, merge, correct, or remove supplier profiles, venue profiles, review features, sponsored placements, labels, images, contact fields, responses, or public profile elements where there is impersonation risk, fraud, serious complaint, legal request, rights issue, privacy issue, safety concern, duplicate profile, inactive business, misleading category use, policy violation, or inaccurate information.

The Operator may also restrict supplier profile access where a claimant cannot prove authority, where there is a dispute over profile ownership, or where profile management creates privacy, legal, consumer-protection, or public-trust risk.

The Operator may preserve relevant records where necessary for security, abuse investigation, legal compliance, legal hold, privacy complaint, IP dispute, or defense of claims.

22. Public Information and Third-Party Sources

Supplier profiles may include public or business-facing information from supplier submissions, Organizer submissions, public websites, social pages, directories, public records, or other lawful sources where permitted.

The Operator may not be able to guarantee that all public supplier information is current, complete, accurate, or endorsed by the supplier.

Suppliers may request correction, claim review, update, restriction, or removal of inaccurate or unauthorized profile information through the support or legal channels provided in this Policy.

23. No Professional, Safety, or Legal Endorsement

Supplier profiles, ratings, reviews, trust labels, sponsored placements, featured listings, or public display should not be treated as professional advice, legal advice, safety certification, licensing confirmation, insurance verification, suitability determination, or guaranteed recommendation.

Users, Organizers, and clients should conduct their own due diligence before hiring, contracting with, paying, or relying on a supplier, venue, or service provider.

24. Feature Availability and Future Marketplace Gate

The following features remain disabled unless separately reviewed, approved, disclosed, and released:

supplier settlement; supplier payouts; marketplace checkout; escrow; split payments; supplier-service refunds; platform commissions on supplier payments; supplier booking guarantees; verified licensing labels unless actual checks are performed; verified insurance labels unless actual checks are performed; background-check labels unless actual checks are performed; public reviews where moderation is not ready; public supplier responses where moderation is not ready; review incentives; Spark Points for public reviews; raffles tied to reviews or supplier promotions; targeted ads using private Event Data; lookalike audiences using guest or Event Data; public child media; supplier reuse of private Event media without permission; automated quality scores represented as objective certification;

A feature will be treated as enabled only when it is available in the production user interface, supported by the applicable operational process, and covered by any required terms, privacy disclosures, consent controls, billing disclosures, app-store disclosures, and internal launch approval.

25. Relationship With Other Policies

This Policy supplements, and does not replace, the Terms of Service, Privacy Notice and Data Rights Policy, Privacy Notice Acknowledgment and Consent Form, Community, Content, Child Safety, IP, and Enforcement Policy, Account Deletion and Retention Policy, Cookie and Marketing Policy, Media Policy, Spark Points Program Terms, HostHaven Organizer Platform Addendum, Platform Fees Terms, Review Guidelines, and any applicable Event-specific or feature-specific rules.

In case of conflict, the document most specific to the relevant feature or processing activity will generally apply, subject to applicable law and counsel-approved publication hierarchy.
